Updates to Secure Document Portal

Several key changes have been made to the Secure Document Portal.
- In response to user reports that some states were not regularly opening emails from Secure Document Portal and thus children’s cases were being delayed, the NEICE team has made a few key changes to the email notification process.
- Also, to reduce costs and save server space, NEICE will now delete documents from the Secure Document Portal platform 14 calendar days AFTER they have been downloaded. Anything uploaded into the full NEICE Case Management system will remain saved to the case.
These changes have been updated in the NEICE system as of Wednesday, June 15, 2022. Below is the list of features that have been addressed in this release:
1) Initial Email
NEICE will now send initial emails from the Secure Document Portal with this subject line:
Subject: Action Required to download documents in Secure Document Portal -<Transmittal Type> - <Regulation> from <Sending State of the transmittal>
2) Reminder Emails
Reminder emails to users to download the documents will be generated by the system every 72 hours after the initial email and will stop when the documents are downloaded.

<Sending State of the transmittal> has sent you an ICPC transmittal and accompanying documents related to a <Transmittal Type> via the NEICE Secure Document Portal.

Please note that once you've downloaded and saved the documents, they will be removed from the portal and can no longer be accessed by this link.

3) Document Deletion
- The system will delete all documents 14 calendar days from the date of first download of the documents.
- “The documents have been downloaded and are no longer available” is displayed in Secure Document Portal when the users click on the email link once the documents are deleted.
