Purpose: This job aid provides the steps for the ICPC Coordinator to attach a supervision report to the case & transmit the report to the sending state. Following these steps will ensure the appropriate fields are selected/completed for data reporting and case management tracking.
For states where the ICPC caseworkers are NEICE users and they upload the Supervision Report to the case, please skip to step 7.a.
For states where the ICPC caseworkers are not NEICE users and the Supervision Report is sent to the ICPC Coordinator outside of NEICE the ICPC Coordinator will attach the Supervision report to the case following these steps:
- The ICPC Coordinator receives a supervision report outside of NEICE and needs to add to the NEICE case to transmit to the sending state.
- The ICPC Coordinator signs into NEICE and searches for the case ID. The coordinator can also go to the “My Cases” section and search for the child’s name.
- The ICPC Coordinator will then navigate to the Documents page and select “Upload Document.”
4. The ICPC Coordinator will make sure the child’s details and information are correct, and select the Document Type “Report-Supervision” and then click “Browse File” to upload the document:
5. The ICPC Coordinator will locate the appropriate document from their files and click “Open” to upload the document:
6. The ICPC Coordinator will confirm the file was added and click “Save & Upload”:
7. The ICPC Coordinator will see the Attached Report-Supervision in the list of documents on the Documents tab and the Document status is “Attached”
- When an ICPC coordinator receives a document from the Case Worker in NEICE, the ICPC coordinator needs to change the STATUS of the document from “Uploaded” to Attached” by selecting the document record and clicking on “Attach” from the Actions drop down on the document page.
- Only documents in “Attached” Status can be enclosed in a Transmittal to the Sending/ Receiving state
8. The ICPC Coordinator will transmit the Supervision Report to the sending state by selecting “Progress Report Response” in the “Send Transmittal” drop down box:
9. The ICPC Coordinator should check all information entered for the New Transmittal and ensure the “Purpose of Transmittal” is “Sending Supervision Report”:
10. The ICPC Coordinator will select the document(s) to enclose and click “Send”:
The transmittal will show in on the Communications page with a green check mark on the icon to indicate the transmittal was sent as a PROGRESS_REPORT_RESPONSE. This date will be recognized by NEICE to provide data on when the Supervision Report was sent to the sending state.
