Job Aid: Decentralized County receives a case intended for another County or State

Purpose: The purpose of this job aid is to provide guidance on steps needed to correct a case that has been sent to the wrong county in a decentralized state when it is discovered by the receiving state or sending state.

In decentralized states, cases are sent directly to county agencies. When a case is received by the wrong county agency, the Sending State should be notified. The Sending State can make a simple correction when notified of this error.

If the wrong Receiving County discovers the error, they should:

  1. Notify the Sending State using an Additional Information transmittal.
  2. Sending state will send a Homestudy Update transmittal to the correct county ICPC agency following the below steps:
    1. Go to the Case Details tab on the case and select the correct Receiving Agency and correct Receiving County.
    2. Go to the Communications tab and send a Home Study Update transmittal to the correct Agency.

If the Sending State discovers the error, they should:

1. Send Additional Information transmittal to the Receiving Agency describing the error.

2. Go to the Case Details tab and select the correct Receiving Agency and correct Receiving County.

3. Go to the Communications tab and send a Homestudy Update transmittal to the correct Agency.
